Import Contacts to CRM

If you already have a list of contacts or customer information from other applications, you can import them into your Red OnX CRM. The most common way to do this is through a CSV file. Most CRM apps will let you export your contacts to CSV, and you can use that file to easily upload your existing contacts.  

Things to know before importing:

  • Your contacts need to be in a spreadsheet program like MS Excel or Google Sheets. Now export the contacts as a CSV file.
  • Date fields must be formatted in a specific way. All dates must follow the Y-m-d format.
  • You can categorize your contacts based on their subscription status, like subscribed or unsubscribed. You can only select one status at a time.
  • There is no limit to the number of subscribers you can import, so feel free to import all your contacts.

Steps to import contacts from a CSV file

From your Red OnX Dashboard, go to CRM and then Contacts. Then click Import at the top right of the screen.

When the popup appears, choose CSV File as the contact source and then click next.

Select Your CSV Delimiter

In the second step, you will be asked to Select Your CSV Delimiter, by default CSV delimiter is commas, but if you used semicolon you need to select it in the delimiter. The example uses Comma Separated. Now upload your CSV and again click next.

Configuring the file mapping

In the third step, you will need to configure the field mapping from your CSV file with the corresponding CRM fields. The  CSV file used had three simple fields which are First, Last, and Email. Your CSV might have more. Map the fields accordingly. As you can see in the screenshot below, the left column has your CSV data and the right column contains the CRM fields.

Optional items and actions

Select any Lists NEED LINK and Tags NEED LINK you want to add to the imported contacts. Any Lists and Tags you choose will be applied to everyone you are importing at that time. If you want to bulk add contacts with different Lists and Tags, you can create separate CSV files for each. 

You can also choose to update an existing contact with new data from CSV. The email is the unique field that determines if a contact is already existing.

Lastly, you need to give the subscribers a status. You can select “subscribed” as the status but make sure that you have the permission to send them marketing.

If you have automations, they may be triggered by the lists and tags you apply. If you do not want the automations to automatically run, then make sure to click no. For example, if you have an automation that is triggered when someone has a tag applied, you may not want that welcome to go to the existing clients you are importing with that tag.

Now click next and that’s it. Your contacts have been successfully imported into CRM.
